Office Administration Personnel Wanted
We are looking for a highly organized and detail-oriented individual to join our growing team as an Office Administrator. In this role, you will be responsible for a variety of administrative duties to support the smooth running of our office.
Key Responsibilities:
Filing and Document Management:
Maintain a organized filing system, both physical and digital, for all office documents and records
Ensure all invoices, contracts, and other important paperwork are properly filed and easily retrievable
Oversee the storage and archiving of documents according to company policies
Invoicing and Order Processing:
Generate and send out customer invoices in a timely manner
Process sales orders, including order entry, inventory management, and shipping coordination
Liaise with the accounting team to ensure all financial records are up-to-date
Social Media Management:
Manage the company’s social media accounts across platforms like Facebook, LinkedIn, and Instagram
Create and schedule engaging, on-brand content to build the company’s online presence
Monitor social media activity, respond to inquiries, and track relevant metrics
General Administrative Support:
Provide administrative support to the management team as needed
Assist with ad-hoc projects and tasks to ensure the smooth running of the office
Act as the first point of contact for client and vendor inquiries
Day-to-Day Tasks:
Process and file incoming documents and correspondence
Generate and send out customer invoices
Update the sales order database and coordinate shipping
Plan, create, and schedule social media posts
Monitor social channels and respond to messages/comments
Attend to phone calls, emails, and other inquiries
Maintain office supplies and inventory
Collaborate with cross-functional teams on various initiatives
